Time flies when you're having fun, and at Proxy Retail we can hardly believe that 10 years have gone by since our company was founded. In 2016, we booked our first installation project. Since then, our crews have worked inside single flagship stores and coordinated rollouts across hundreds of locations at once, and every one of those projects taught us something. Some lessons were expensive. Some were obvious in hindsight. All of them shaped the way we work today.
To commemorate 10 years in the retail and commercial installation business, we wanted to share 10 of the most impactful takeaways that shaped our brand into the trusted national installation rollout company for thousands of businesses. The projects that go smoothly are almost never the ones with the fastest crews. You can hire a company that boasts they'll get the job done the quickest, but speed isn't the only metric to consider for a successful installation project. The faster your crew goes, the higher the risk of something going wrong. If your team isn't experienced enough to handle issues that pop up during a quick installation, they'll end up getting slowed down anyway while they scramble to fix the problems.
We've been in the commercial and retail installation business long enough to know that successful installation projects are the ones with the most thorough site survey. Confirming measurements, power, access, and site conditions before install day eliminates the surprises that blow up timelines. Every hour spent planning saves several on-site.
Additionally, with time comes experience. After 10 years and over 100,000 installations, we have a Spidey sense to know what issues to look for when a job is underway. Of course, we're not 100% clairvoyant, but we have a good idea of which decisions to make that minimize the chances of setting off a domino effect of problems. And when an unexpected setback does slip through the cracks, we're level-headed enough to know how to address the concern with calm precision so we can get the project back on track.
Retailers don't move their launch date because installation ran long. The launch date is fixed, marketing has already gone out, staff have already been hired, and the schedule has to bend around that reality, not the other way around. Early in our history, we sometimes built schedules the way most contractors do: Start from when the crew is available, estimate how long the work should take, and hope it lines up. It usually did. But usually wasn't good enough.
So we changed the approach entirely. Now every project schedule starts at the opening date and works backward, accounting for delivery lead times, inspection windows, and the buffer that real job sites always need. It sounds like a small shift, but planning in reverse forces you to confront the real constraints early, instead of discovering them the week before a store is supposed to open. A thorough workback schedule gets the entire crew aligned on every step that needs to be completed in order to keep the client's business running as planned.
Most install issues aren't caused by bad work, they're caused by bad information. (Okay, some install issues are caused by bad work—we've had to fix enough shoddy installation mishaps from other companies to know that there's always going to be players in the industry who don't know what they're doing.)
A measurement changed and nobody mentioned it. A delivery delay surfaced three days late instead of three days early. A design change made it to one team but not another. The work itself was often fine, but the breakdown happened in the gap between people who should have been talking to each other.
The single biggest shift in our process over 10 years wasn't a new tool or a new technique, it was treating over-communication as part of the job, not an extra step layered on top of it. That means flagging a potential issue the moment it's spotted, not waiting to see if it resolves itself, and giving clients real-time visibility into status instead of a summary once a week. It's a small cultural change that eliminates a surprising share of the problems that used to derail projects.
Anyone can install one store well. Give a good crew clear plans, enough time, and a single site to focus on, and the results will usually be strong. The real test comes on location 50 of a 100-store rollout, when a different crew, a different market, and a different set of site conditions all have to produce the exact same outcome as location one.
That kind of consistency doesn't happen by hiring good people and hoping for the best. Rather, it happens because the process is documented well enough that it doesn't rely on any single person's memory or judgment. Standardized checklists, photo-verified quality checks, and training that's the same in every market are what make a 200-site rollout look like it was installed by one crew instead of 40. Multi-site work taught us that consistency has to be engineered, not assumed.
Every shortcut we've ever seen taken on a job site eventually shows up again. Maybe it's the anchor that wasn't quite rated for the load, the panel that was "close enough" to level, or the connection that worked fine in testing but not after six months of daily use. In the moment, cutting a corner can look like it saved an hour. In practice, it just moved the cost downstream to a callback, a repair visit, or a client relationship that quietly cools off because something didn't hold up.
We've done the math on this more than once, and it's never in shortcuts' favor. A callback costs more than the extra 20 minutes it would have taken to do it right the first time. The bill comes past-due in the form of labor, travel, and often in trust that's harder to rebuild than a fixture. Ten years in, "good enough" has never once turned out to actually be enough.
Nobody walks into a new store and inspects the structural integrity of a fixture that was installed. They don't check torque specs or ask how the anchoring was done. But they will notice, almost instantly, if something is crooked, scuffed, misaligned, or just slightly off from everything around it, even if they couldn't articulate what's bothering them.
That's the part of the job that's easy to underweight if you're only thinking about function. A fixture that works perfectly but looks careless still reads as a careless install to the person standing in front of it. Finish-level quality — square corners, clean edges, consistent spacing — isn't a nice-to-have on top of the "real" work. For the customer walking through the door, it often is the real work.
When our crews are on-site, they're frequently the only vendor a store manager, GC, or facilities contact interacts with face-to-face during the entire project. They see how the team communicates, how they treat the space, whether they clean up after themselves, and whether they show up when they say they will. All of that becomes part of how the client experiences the project, often more than the fixture itself.
That realization changed how we train. Technical skill gets someone hired, but professionalism — showing up prepared, communicating clearly, treating the client's space with the same care as their own — is what gets a crew invited back for the next rollout. A decade of client relationships has made it clear that the installer isn't just representing Proxy Retail on-site. They're representing the client's brand, too.
Scope changes are a normal part of any real project. Site conditions shift, plans get revised, and unexpected things turn up once work is underway. None of that is unusual. What's avoidable is a client finding out about the cost or timeline impact after the work has already happened, when there's no longer a choice involved.
We learned to flag potential changes the moment they're identified: before they're finalized, before the cost is locked in, and definitely before an invoice shows up with a line item nobody was expecting. That single habit turns a change order from a point of friction into a conversation the client is part of. The scope change was never really the problem, but the silence around it was.
Installing inside a space that's still fully operating with customers browsing, staff working, and live inventory on the floor is a completely different discipline than building out an empty shell. Noise has to be managed around store hours. Dust and debris can't drift into product displays. Foot traffic patterns have to be respected, not disrupted. None of that shows up on a standard installation timeline, but all of it determines whether a project actually goes smoothly.
A decade of working inside live retail environments taught us to plan for the store first and the project second. That means scheduling noisy work during off-hours, protecting merchandise before work begins, and briefing crews on how to move through a space that has customers in it. A business that can't afford to close still has to be treated like one that's fully open, even while we're inside it.
Every year, we work with clients who know they could get a lower quote somewhere else. They stay anyway, project after project, rollout after rollout, for reasons that don't show up on a bid sheet. They stay because we told them the truth when something went wrong instead of hoping they wouldn't notice. Because the crew that showed up on project 50 held to the same standard as the crew on project one. Because when we said a date, we meant it.
That's not a marketing line, it's the actual reason a decade-long client relationship survives more than a single good bid. Price gets a vendor in the door once. Consistency, honesty, and follow-through are what get them invited back for the next 10 years. If there's one lesson underneath all the others on this list, it's that one.
